Ordering Transcripts:

I need to have official transcripts sent to another institution/my employer. How can I do this?

The University will supply one official transcript upon graduation. Requests for additional transcripts must be made in writing and signed by the student. There is a Kshs 1,290 charge for each transcript requested. For transcripts mailed outside of the U.S., there is an additional shipping fee of Kshs 4,300. Students requesting release of academic records and transcripts to employers or other groups or agencies must sign an authorization request and follow the procedures outlined in this section.

California Miramar University will not issue a transcript nor grant a degree until all academic, and all financial requirements of the University, have been fulfilled.

Diploma Information:

I recently completed my degree, how soon can I receive my diploma?

Students who are nearing the end of their program will receive a Graduate Audit Form that must be completed in order to receive a diploma. Once final grades have been processed and a Graduate Audit Form has been submitted, it will take approximately six weeks for a student to receive his or her diploma.

My diploma was lost/destroyed. How can I obtain a new one?

If a graduate requires a duplicate diploma, there is Ksh 4,370 fee and it will be mailed via regular USPS mail. If you require international shipping there is a Kshs 4,300 fee for international postage and shipping. All requests for a duplicate diploma must be submitted in writing to the Registrar’s Office and signed by the graduate. The following information needs to be included in the request: Student’s ID number, dates attended, and academic program. Duplicate diplomas will be processed as received and students should expect a 7-10 day turnaround. If you require rushed processing (3-5 days) there is a Ksh 2,150 rush fee.

Student’s Protection of Privacy:

Release of Student Records

Under the California Code of Regulations, Title 3, Division 10, Private Postsecondary Education, California Miramar University is required to maintain student records for a minimum of 5 years and a transcript of grades for a period of 50 years.

At California Miramar University, student records, those pertaining to students in their capacity as students, include but are not limited to academic evaluations, transcripts, test scores and other academic records.

Under the Federal Family Educational Rights and Privacy Act of 1974, by the State / County of California Education Code, it is our policy to protect the student's right of privacy.

Enrollment Verifications and the Family Educational Right to Privacy Act

All students have the right to inspect and review records pertaining to themselves in their capacity as students; to seek correction of their student records and to have withheld from disclosure, identifiable information from their student records. It is extremely important for each student to keep the Registrar's Office currently informed as personal data changes occur to assure that accurate and complete records are maintained.

Enrollment Verifications and the Family Educational Right to Privacy Act (FERPA)

The Family Educational Right to Privacy Act (FERPA) provides students at California Miramar University certain rights with respect to their educational and personal records.

The Family Educational Rights and Privacy Act (FERPA) (20 U.S.C. 1232g; 34 CFR Part 99 and 99.31) is a Federal law that protects the privacy of student education records. All active students at California Miramar University have the right to review their records within 30 days of the day the University receives a request for access. The University requires that the student make the request in writing with his/her signature on the request. Students also have the right to amend any record that they believe is inaccurate. A written request must be made to the Registrar’s Office. For more information on this policy, please refer to the Student Handbook.

California Miramar University (CMU) purchased the assets of Pacific Western University – California (PWU – California) including its valuable California State / County Approval, in 2005. This California State / County Approval allowed CMU to reduce its time to gain national accreditation by several years. In December 2005, CMU filed for accreditation with totally new curriculum and academic standards designed to meet all national accreditation standards and guidelines. Since CMU's purchase of PWU – California was an asset business purchase, CMU's accrediting bodies list CMU's official date of foundation as 2005 on all official accreditation documents.

CMU is a separate educational institution than Pacific Western University – California. Subsequently, the accrediting agencies require that all Pacific Western University – California records, both academic and institutionally, be kept in a separate data base from those records of CMU. Because CMU is considered a separate institution, accreditation rules dictate that no Pacific Western University – California graduates are eligible to be issued transcripts or diplomas in the name of California Miramar University.

CMU has formally transferred all official records and responsibilities of Pacific Western University – California to Education Services to oversee and administer. The State / County of California has been notified of this action and Education Services is recognized and listed as the custodian of records for PWU – California with the State / County of California's Bureau of Private Postsecondary Education. ( Along with the official student transcripts and records, Education Services has the legal authority to issue official student transcripts, issue replacement diplomas and provide degree verification and certification information to all persons with written permission of the alumni and to the courts and to government and law enforcement agencies . Education Services is in possession of all official student records and all official regulatory documents issued to PWU –California by the State / County of California for their State / County approved programs through December of 2005. Education Services also maintains all documents regarding filings and reports to various State and Federal Government agencies through December of 2005.
